AI receptionist for plumbers

The burst pipeon a Sunday.

An AI receptionist for plumbers answers the emergency call when the crew is on a job, books the visit into your calendar and sends you the summary. It says it is automated, speaks in your company's words, and hands off to a person when your rules say so.

ProxMedia is an AI marketing agency in Denver. We install the AI systems that answer calls and book jobs for service businesses, and we build the websites, local SEO, Google profile and Meta ads behind them.

What it does

What does an AI receptionist do for a plumbing company?

An AI receptionist for a plumbing company answers every call you cannot pick up, asks what is leaking or blocked, collects the address and a callback number, and books the visit into your calendar. It announces that it is automated, follows your hours and service area, and sends you a summary after every call.

  • Burst pipes, water heater failures and sewer backups, booked into the next slot your rules allow.
  • Drain cleaning, fixture and repipe requests taken while the crew is on jobs.
  • Remodel and estimate inquiries captured with the details an estimator needs.

Good to knowIt never quotes a repair it cannot see. It takes the symptom, the urgency and the details, then books or hands off.

The calls

Which plumbing calls does it handle, and which go to a person?

The AI receptionist books the routine plumbing calls on its own and routes the ones you define as emergencies to your on-call plumber. You set the rules in the audit, in plain words, and change them whenever you need to.

Booking

Does it book into Housecall Pro, ServiceTitan or Jobber?

The AI receptionist books into your calendar, with the slots and buffers you allow. If you dispatch from Housecall Pro, ServiceTitan or Jobber, we scope that connection in the audit rather than promise it on a page, so the quote matches what gets built.

  • Your calendar, your slots, your buffers between jobs.
  • The booking and the caller's details land where your office already looks.
  • You keep your number. Calls forward to the AI after hours or on overflow.

The script

What does it say to callers, and who approves the wording?

The AI receptionist opens by saying it is automated, then asks the questions you would ask. You approve every line before it goes live: the greeting, the shut-off-the-water instruction, the booking confirmation and the handoff. It never quotes a price you have not approved.

  • Your company's name, hours, service area and the services you actually offer.
  • An approved answer for the questions you get every day: service fees, after-hours rates, financing.
  • A handoff rule for anything outside the script, with the caller's details passed along.

Timing and cost

How long until it is live, and what does it cost?

An AI receptionist for a plumbing company is live in about two weeks after we get access to your number and calendar. The cost is a setup and a monthly, both in writing after a 30-minute audit, because the scope decides the price.

  • Week one: your hours, services, area, emergency rules and approved answers.
  • Week two: test calls with you, then the forwarding switch.
  • Owner alerts go by email, and by text once your business number clears carrier registration, which we set up with you.

The numbers

What do the numbers say about plumbing calls?

ServiceTitan measured the share of call leads its customers booked into jobs in June 2022. Plumbing companies booked 43 percent, the highest of the trades it reported, and plumbing booking rates barely moved across the year. In September 2026, SearchLight Digital graded 232,635 inbound contacts at 1,500 home-service contractors: 78 percent of the unbooked ones were never bookable, and about one in five was a homeowner with a real request who left without an appointment.

Both are vendor numbers, and neither is yours. Together they say the plumbing phone is steady all year, and that the call worth catching is the one in five that is a real job.

Updated October 29, 2026

Does the AI receptionist tell the caller how to stop a leak?

It gives one approved instruction, such as shutting off the main valve, if you want it to. It does not troubleshoot beyond that. It takes the details and books the visit or hands the call to your on-call plumber.

What counts as an emergency?

You decide in the audit. Most plumbing companies treat an active leak, no water and a sewer backup as emergencies, and the AI receptionist follows that rule and calls the on-call plumber.

Can it text the customer a confirmation?

Confirmations go by email today. Text delivery switches on once your business number clears carrier registration, which we set up with you.

Do I have to change my phone number?

No. You keep your number. Calls forward to the AI receptionist after hours, on overflow, or whenever you choose.

Does it work with Housecall Pro or ServiceTitan?

It books into your calendar. If you dispatch from Housecall Pro, ServiceTitan or Jobber, we scope that connection in the audit so the quote matches what gets built.
